How can we help?

Short answers to what people ask most. Can't find it? Send us a message at the bottom; a real person replies.

Getting started

What do I upload?

Your statements for each business account: checking or chequing, savings, credit cards and lines of credit. PDFs from online banking are best, because SumSwift checks every line against the balances printed on them. CSV, Excel and Quicken/QuickBooks downloads work too, and so do the zips some banks give you. Where to find them at your bank.

How many months?

Start with last month to see your books. Behind? Upload every month since your books were last done, all at once.

How long does it take?

Usually a minute or two. A full year of three accounts took under three minutes in our tests. You'll see the books on Home as soon as they're read.

Do you need my bank password?

No. You download your statements and upload them. SumSwift never asks for your bank login, and it can't move money.

Will you remind me to upload?

Yes. On the 1st of each month SumSwift emails you which accounts still need last month's statement (accounts connected to your bank are skipped). Turn it off on Account, Monthly reminder, or from the email.

Checking your books

What does "To check" mean?

Things SumSwift can't sort without you, like a cheque with only a number on it, or a big payment it isn't sure about. On Transactions, tap Looks right if the guess is right, or pick the right category. One answer covers every charge from the same place, and SumSwift remembers it next time.

What's "Sorted for you"?

What SumSwift sorted on its own without being completely sure, listed on Transactions so you can glance at it. Nothing waits on it: change any that's wrong (it's remembered), or tap They look good.

A statement says it doesn't match the bank.

On Statements, the account shows how far off it is. Usually a page is missing from a PDF, or a CSV doesn't cover the whole month. Upload the full statement again; SumSwift skips anything it already has.

Some months are missing.

Statements and Home list the account and month that's missing. Upload it and the gap closes.

Why is SumSwift asking if something is equipment?

A big purchase like a computer, tool, machine or vehicle is usually written off over a few years, not all at once. Answer Yes, it's equipment and SumSwift puts it on an equipment account (set how it's written off on Accountant), or No, it's a cost and it stays a cost of this year.

A transaction is in the wrong category.

Change it on Transactions. SumSwift asks whether to do the same for that merchant's other transactions. Need part of a charge in one category and part in another? Use Split.

I paid a year of insurance (or a yearly plan) at once. Can it count month by month?

Yes, on accrual books (Accountant, When sales and costs count). On Transactions, Spread over months beside the payment: say the months it covers and it's held as Prepaid expenses and counts as a cost a bit each month. Accountant, Month-end adjustments, also asks about payments that look like they cover months ahead. GST/HST and sales tax don't move: they still count when you paid.

A customer paid a deposit before the work. How do I count it?

On Transactions, Spread over months beside the deposit. Pick the months the work runs, or Count it when the work is done and press Work done on Accountant, Month-end adjustments when it is. Until then it's on the balance sheet as Customer deposits and unearned revenue, not sales. The GST/HST on it still counts when you were paid or invoiced.

Some bills for a month arrive after it ends. How do I get them in the right month?

Accountant, Month-end adjustments, Add a cost not billed yet: the amount is booked on the month end and undone on the 1st, so the real bill isn't counted twice when it comes. Tick Every month for something like hydro. SumSwift also suggests one for regular bills that usually arrive early in the next month. Any correction can do the same: fill in Undo it on.

What does locking a month do?

On Reports, once a month is complete, Lock it and nothing in it can change, so your numbers stay final for taxes and your accountant. Unlock the last month if you need to fix something.

Taxes

Does SumSwift file my taxes?

No, you or your accountant file. SumSwift tracks and estimates (quarterly estimated tax, sales tax, GST/HST, the Schedule C or T2125 numbers) and in Canada gets the filing ready: each GST/HST period has File this return with every line to copy into CRA, and the slips card makes the T4A or T5018 file to upload.

Where do I see my write-offs?

Taxes, Write-offs: what you've written off this year, about how much tax it saves, write-offs you might be missing, and purchases with no receipt.

Why does the tax estimate say "Your books start"?

If you've only uploaded part of this year, the estimate covers from your first month to December. Add the earlier months for a full-year estimate.

How do I set up sales tax or GST/HST?

On Taxes, Change setup (US) or the GST/HST tab (Canada). Tell SumSwift your rate and how often you file, and it works out what you owe each period.

US: how does SumSwift work out my quarterly estimated tax?

On Taxes, Estimated tax (sole proprietors and single-owner LLCs). SumSwift takes your profit so far, projects it to the full year, and works out self-employment tax, federal income tax and your state's income tax from its brackets. Each IRS due date (April 15, June 15, September 15 and January 15) shows what to pay, and payments to the IRS in your bank are spotted as paid. Add last year's tax on Change setup and it also shows the safe harbor amount: paying that much avoids an underpayment penalty even if this year turns out bigger. Partnerships, S corps and C corps get their own tabs.

US: what's a Schedule C, and where is it?

It's the part of your federal return that shows a sole proprietor's business profit. Taxes, Schedule C lays out each line from your books (meals at half, your car by the method you picked), down to line 31, net profit. It's also a sheet in the year-end package on Accountant, ready for your CPA or tax preparer.

US: do I need to send 1099s?

Taxes, 1099s lists the people and companies you paid for work (1099-NEC) or rent (1099-MISC) from your bank accounts over the year's threshold: $600 through 2025, $2,000 from 2026. Card, PayPal and marketplace payments are left out, because the processor reports those. Mark who's sent you a W-9 (Home reminds you to collect them; SumSwift never stores tax ID numbers) and download the list as a CSV. SumSwift can't file 1099s yet: your CPA or a filing service does that from the list.

US: how is sales tax handled?

Set your combined rate and how often you file on Taxes, Change setup, and say if only some of your sales are taxed. SumSwift takes the sales tax out of your sales into what you owe, shows each period's amount, and spots your payments to the state. It works with one rate: if you sell into many states with different rates, a sales tax service like TaxJar or Avalara is still needed for now.

US: can SumSwift log my miles?

Yes. Taxes, Mileage: log each business drive (or from the iPhone app) and SumSwift works out the deduction at the IRS standard rate. It compares the standard rate with your actual car costs for the year, and your Schedule C and estimated tax use the one you pick. Parking and tolls count either way.

I drive a truck. Does SumSwift do IFTA and the 80% meals?

Yes, in Canada. On Taxes, Trucking: say driving a long-haul truck is your main work and your own meals on long trips count at 80% instead of 50%. If you file IFTA, type each quarter's distance and fuel by province and state, with the rates from the IFTA rate matrix, and SumSwift works out the tax or credit for each place and the total. Home reminds you before each return is due.

My business is on a reserve. Does SumSwift handle the Indian Act exemption?

Yes. On Taxes, Indian Act: say you're a status First Nations owner, tick what ties the business to the reserve and give the share of profit earned there. That share is left out of your income tax and CPP estimate, with a note for your accountant, who makes the final call. Sales to status customers delivered to a reserve can be marked as relieved, with their registry number, so no GST/HST is taken out.

We're a co-op. Can SumSwift work out patronage?

Yes. On Taxes, Patronage: add members and the business each did with the co-op, and the amount to allocate. SumSwift splits it, keeps back the 15% on payments over $100 to people and companies in Canada, shows the deduction, and makes the T4A file (box 030).

I pay contractors or owners outside Canada. What do I need to do?

On Taxes, Non-residents. Work done in Canada by a non-resident needs 15% kept back and a T4A-NR slip. Dividends, rent, royalties and some fees need 25% (or a treaty rate) and an NR4 slip. SumSwift asks about payments that look like they went abroad, works out what to keep back and when to send it, makes the slip files, and checks whether you need a T1135 (foreign property over $100,000) or T106 (over $1,000,000 with related companies abroad).

I farm or fish. Does SumSwift handle that?

Yes, in Canada. Say what your business does (or pick It's a farm or It's a fishing business under Taxes, T2125) and Taxes gets a T2042 or T2121 tab with every line of the form from your books: grain, livestock, milk and eggs, program payments, feed, seed, fertilizer, fuel, crew shares, bait and ice, nets and traps. Tap a line to move a merchant. Farm and fish sales are zero-rated, so no GST/HST is worked out of them, and you still claim it back on what you buy. On the cash method, add what you had on hand at year end and SumSwift works out the mandatory and optional inventory adjustments. In AgriStability or AgriInvest? Your accountant copies the same lines onto T1163 or T1273.

I hold clients' money in trust. Can SumSwift keep the trust account?

Yes: law firms, notaries, real estate brokerages, property and condo managers. Upload the trust account's statements, then on Statements open that account's menu and pick Trust account. Its money stays out of your profit, cash and taxes. On the Trust page you keep a ledger for each client or matter, put each bank line on a client, record trust cheques, and move fees to your general account only against a bill. Every month the three-way reconciliation (bank, trust book and client ledgers) is one click to sign, print or download, and a month can't be locked until it's done. SumSwift flags a client ledger below zero, cash over the limit, money untouched for two years and fees with no bill. Your law society or regulator's rules still apply: SumSwift keeps the records, you're responsible for them.

We're a charity or a non-profit. Does SumSwift work for us?

Yes, in Canada. Pick Registered charity or Non-profit organization in setup (or open Donations, Details). Record gifts on Donations, match the Sunday collection or an e-transfer to its deposit, and keep restricted money in its own fund. Registered charities issue official donation receipts with everything CRA requires: one per gift or one per donor at year end, split receipts when the donor got something back, and cancel and replace with a new number when one is wrong. The T3010 tab works out every line from your books, the disbursement quota and where costs went; non-profits get the T1044 amounts and whether they need to file. The GST/HST rebate tab works out the public service bodies' rebate (GST66) from your receipts. Donors' names and gifts are only seen by the owner, bookkeepers and accountants.

I own a rental property. Can SumSwift keep its books?

Yes, in Canada. Open Rentals (or Taxes, Own a rental property?) and add the property: your share if you co-own it, the part you live in, what the building and land cost, and the mortgage. Put its rent and costs on it with the picker beside each transaction. Mortgage payments are split so only the interest counts, big repairs ask whether they're an improvement, and the rent roll finds each tenant's rent in your bank and lists late rent. The T776 tab has every line for each property, CCA (never more than your rental profit, as CRA requires), and lines 12599 and 12600 for your return, with CSV and Excel downloads.

Receipts, bills and invoices

How do I add receipts?

On Receipts & bills, drop photos or PDFs, or use Snap receipts with your phone to scan a QR code and take pictures. Each receipt is read and matched to its transaction.

I paid cash. How do I record it?

Add the receipt on Receipts & bills and choose Paid in cash with a category.

Someone on my team paid for something. How do I pay them back?

On Receipts & bills, open Claims and Add a claim. When you send them the money, SumSwift finds the payment and sorts it as what they bought, with the GST/HST from the receipt.

I sell products. How do I keep my inventory?

Small shop: on Accountant, open Stock on hand, say you keep stock, and count it at least at year end; SumSwift moves the difference out of cost of goods sold. Shops, online stores and wholesalers: choose "Keep it item by item" and use the Inventory page. Bring in your item list (Shopify, Square, Lightspeed or a spreadsheet), add supplier bills to stock (freight and duties are spread over the items), and bring in what you sold. SumSwift works out what each sale cost by FIFO or average cost, shows your margin by item, low stock and what isn't selling, and puts the stock valuation in your year-end package.

Do I still sort stock purchases as cost of goods sold?

Yes. Keep sorting what you pay suppliers for stock as cost of what you sell. With inventory item by item, SumSwift moves what came into stock out of that cost and back in as each item sells, so nothing is counted twice and your profit shows only what you sold. Damaged, expired or stolen stock shows on its own line, Stock written off.

I keep stock in more than one place. Can SumSwift tell me what's where?

Yes. On the Inventory page, open Places and add each place (a store, a warehouse, a van, a kitchen). Move stock between them with Move stock, count each place on its own, and bring in Shopify, Square or Lightspeed files with their Location column. Each item keeps one cost across every place (FIFO or average), so moving stock never changes your profit; Places and the year-end package show the value at each place.

I run a restaurant. Can SumSwift work out my food cost?

Yes. Keep inventory item by item, add your ingredients and dishes as items, then on Inventory > Recipes add each dish's recipe (amounts, and how much of each ingredient is usable). When you bring in your point of sale's item sales, each dish uses its ingredients at their cost. Things you make ahead (sauces, baking) use Make a batch. Recipes shows each dish's cost and food cost %, and Food cost compares what your sales should have used with what you really used, from your counts.

Can I scan barcodes?

Yes, on Inventory, Scan, with your laptop or phone camera: look an item up and see what's on hand at each place, count it, or receive a delivery against a purchase order. Add each item's barcode on Inventory (Barcode on the item).

Can I send purchase orders?

Yes. On Receipts & bills, open Orders and choose New purchase order. Download the PDF to email or print it. When the delivery comes, Record what arrived (stock items go straight into inventory); when the bill comes, Link the bill. SumSwift checks the bill against what you ordered and what arrived and flags anything off. With bill approvals on, an order over the amount is approved before it goes out, and a bill that matches it is approved with it. Open orders also show in your cash forecast.

I take cash at the till. How do I record it?

On Transactions, open Till. If you use Square, Clover, Lightspeed, Toast, Shopify POS, TouchBistro or Moneris, add its daily sales summary under Sales: each day's sales, tax, tips and gift cards come straight from it, and the card payouts aren't counted as sales again. No point of sale? Add the cash you took by day or week. When you take the cash to the bank, mark that deposit as cash from the till so it isn't counted twice.

How do I count the till and track over and short?

On Transactions, open Till, then Count. Add everything in the till at close and what you leave in for change. SumSwift shows what should have been there, books any over or short so your cash matches the count, and says how much to take to the bank. Cash taken out for supplies or tips goes under Paid out.

How are tips and gift cards handled?

Tips your point of sale collects are owed to your staff, not your sales, and have no GST/HST. Pay them in cash (Till, Paid out) or through payroll (Till, Report). A mandatory service charge is a sale and is taxed. Gift cards are owed to the customer until they're used; the sale and its tax count then.

A customer returned something, paid only part, or won't pay. What do I do?

Open the invoice's ••• menu. Record part of a payment links a deposit to it and shows what's left. Make a credit note gives you a numbered credit note with the GST/HST taken back at the invoice's rate: take it off what they owe, mark it refunded from the bank, or keep it as credit for a later invoice. Write off as a bad debt stops it being owed and claims back the GST/HST in it on your return. Supplier credits and bills paid in parts are on Pay bills.

How do I reconcile my bank account each month?

On Statements, Bank reconciliation: pick the account and the month end. It starts from the balance on the bank statement, takes off cheques you wrote that haven't cleared, adds deposits you recorded that the bank shows later (an invoice marked paid, the till's cash on its way), and has to equal your books. Add a bank error or a cheque SumSwift doesn't know about with Add a reconciling item, then Sign the month. Download it as a CSV or print it. You can tell SumSwift not to lock a month until every account is signed.

A supplier sent me a statement. How do I check it?

On Pay bills, Supplier statements: Check a statement, pick the supplier, add their CSV or Excel file (or type the lines) and the balance it shows. SumSwift ticks each invoice and payment against your bills and payments and lists what doesn't agree: a bill you don't have, a different amount, a payment one side hasn't recorded. Save it to keep the check for that month.

I have a US-dollar account. Are my numbers in Canadian dollars?

Yes. Home, Reports, the cash forecast, the GST/HST return, the income or company tax estimate, the year-end package and the QuickBooks export put both currencies together in Canadian dollars, each line at the Bank of Canada rate for its day (what CRA asks for). What you hold or are owed in US dollars is updated at each month end, and paying a US invoice or moving money between the currencies gives an exchange gain or loss. Reports can still show your Canadian accounts alone.

Can a customer's retainer pay part of an invoice, or several?

Yes, when the retainer came in through the bank. Open the customer (Invoices, Customers), and under Retainer use it on one invoice (all of it, or what's left of the retainer) or on all their open invoices, oldest first. Each invoice gets its exact share of the GST/HST, and what's left of the retainer stays as credit.

Can I send invoices?

Yes. Make one on Invoices and use Email it: your customer gets it with the PDF attached, and overdue ones get Send a reminder. You can add your own Stripe, Square or PayPal link so customers can pay by card. When the payment shows up in your bank, SumSwift marks the invoice paid.

I scanned a whole pile of receipts into one PDF. Does that work?

Yes. Add it on Receipts & bills. SumSwift finds each receipt and invoice in the file, splits them, and reads and matches each one on its own. Invoices you still owe go to Bills, and pages that aren't receipts (a bank statement, a blank page) are left out and listed. If you added it on Statements by mistake, tap Move to Receipts & bills there.

Can I email receipts in?

Yes. Under Connections, Receipts by email gives your business its own address. Forward receipts and online-order emails to it and they're read and matched like photos.

Can SumSwift find receipts in my email by itself?

Yes: under Connections, Receipts by email, connect Gmail. SumSwift only reads, finds the emails that are receipts or bills (newsletters, shipping notices and personal email are left alone and never stored) and matches them to your purchases. Skip a sender you don't want, or disconnect any time.

Payroll

Does SumSwift run payroll?

Yes, in Canada (outside Quebec) and the US. On Payroll, add your team, then Review payday: SumSwift works out each person's pay and deductions, makes your bank's direct deposit file, books the payday and reminds you when the CRA or IRS payment is due. You upload the file and pay the government from your own bank. Running payroll for you through a partner is coming. Already use a payroll company? Add its report on Payroll instead.

Which report do I add?

The payroll journal or payroll register, as CSV, with one row per person per payday. Adding the same report twice doesn't double anything.

What about workers' comp and Employer Health Tax?

Payroll paperwork on the Payroll page lists your province's workers' compensation report and, when your payroll is over the exemption, the payroll tax (BC and Ontario Employer Health Tax, Manitoba's levy, NL's HAPSET), with due dates and a reminder on Home. Add your board rate to see about what you'll pay.

Canada: when are payroll remittances due?

For most small employers, what you took off your employees' pay plus your share of CPP and EI is due to CRA by the 15th of the next month. Payroll shows each month and whether it looks paid.

Can my employees see their pay stubs?

Yes. On Payroll, Your team, choose Invite to see their pay stubs beside someone. They create a free account with that email and see only their own pay: each pay stub as a PDF, their T4 (and RL-1) or W-2 numbers, their time off, and their hours. They can change their own address and phone, nothing else.

Can my team enter their hours?

Yes. Employees add their hours by day (and job) on their Your pay page; you or a manager can add them on Payroll too. A manager approves them, and approved hours are locked. Hours for the next pay run shows each person's approved hours for the pay period, and Download hours makes a file for Gusto, Wagepoint or ADP (check it against your payroll company's import template).

Canada: someone left. What about their Record of Employment?

Set Left on Your team, then Payroll, Records of Employment, Make the ROE. SumSwift works out the insurable hours and earnings by pay period from your pay records, and makes the file for ROE Web (you type the SIN when you make it; it's never saved). Upload it in ROE Web, then type the serial number to mark it filed. It's usually due 5 days after the end of that pay period. Leaves and layoffs work the same way.

I switched payroll companies partway through the year.

Payroll, Switching payroll mid-year: download the template, fill in each person's totals so far this year from the old payroll company's year-to-date report, and add it back. Your T4 or W-2 numbers then cover the whole year.

Your accountant

How do I give my accountant access?

On Accountant, add their email and choose Can view or Can edit. It's free for them. Remove them any time.

Can someone at my business help with the books?

Yes. On Accountant, add their email and choose Staff. They can add statements and receipts, sort transactions, and handle invoices, bills and cheques. They don't see your taxes or payroll, and can't lock months, delete statements, change settings or give anyone else access.

I have a bookkeeper on staff, or a bigger team.

Choose Bookkeeper for someone who keeps the whole books: they do everything you do, including taxes, payroll and locking months, but can't give access, change billing or delete the business. For staff, Limits lets you keep them to some jobs or departments (they then see only those jobs: their transactions, receipts, bills, claims and invoices, and how each job is doing, never the rest of the books, bank balances, taxes or payroll), let them see payroll, or make them an approver for bills up to an amount. The list shows when each person was last active and what's waiting for their approval.

How does SumSwift protect me from fake invoices?

SumSwift never pays a bill on its own, and it checks every bill before it can be paid. A bill is held back from Pay bills, with a "Check before paying" note on Receipts & bills and a to-do on Home, when: it's from a supplier you've never paid before; the name is one or two letters off a supplier you know ("Nortline Tool" for "Northline Tool", a zero for an O); its invoice number was already billed and paid; it's dated months before it arrived; it's far more than that supplier usually charges; it was emailed from an address that supplier never used; or the supplier's address or payment details changed in the last 30 days. Click "It's real" and it can be paid (a new supplier is confirmed once); "It's not real" keeps it held so you can delete it.

How do bill approvals work?

On Accountant, under Bill approvals, set an amount: bills and expense claims over it wait on Receipts & bills until you or an approver says yes. Until then they can't be paid, marked paid or have a cheque written, and Pay bills leaves them out. Approvers see them on Home and can approve from the iPhone app too. Who approved what is in the change history.

Can approvals go through more than one person?

Yes. On Accountant, under Approval steps, add a step for each level: for example over $1,000 the department's manager, over $10,000 you too. A bill, claim or purchase order goes to each person in order and can't be paid until every step is done. Nobody approves a bill they entered, and one person can't approve two steps. Every approval is kept with who and when.

Can the person who approves a bill also pay it?

Not if you turn on Separate duties (Accountant, under Approval steps). Then whoever entered or approved a bill or claim can't mark it paid, write its cheque or pay the claim back, and whoever changed a supplier's address, email or how they're paid can't pay them the same day. It's the control an auditor looks for.

Can I share rent and head office costs across departments?

Yes. On Accountant, Share a cost: pick the costs, then share them by percentage, people, square feet or each department's sales. Profit by department then shows each one's fair share, and your business's totals don't change.

Can a long job's revenue count as the work is done?

Yes, on accrual books. Open the job on Reports, Jobs, and turn on Revenue as the work is done with the estimated total cost. Each month end SumSwift counts the contract times costs so far over the estimate, and shows work not billed yet or billed ahead of the work. Work in progress on Reports, Jobs gives your accountant the WIP schedule.

Is there a report for our auditors?

Yes. Accountant, Controls report: a spreadsheet of who has access and what they can do, every approval, changes in locked months, separate duties exceptions and who did what, for the year you pick.

Can I see profit for each job?

Yes. Add a job on Reports, Jobs, then pick it beside transactions, bills, claims, invoices and cheques. Each job shows sales, costs, labour from logged hours, profit, margin, budget against actual and how far along it is. It's a way of looking at your books: it never changes your totals.

Can I set a budget and see how I'm doing against it?

Yes. Reports, Budget: Start from last year (up or down by a percent) or from scratch, then type amounts month by month, or a yearly total that SumSwift spreads evenly or like last year's months. Budget vs actual shows any month, quarter or the whole year next to the year to date, with what's worse than the budget in red (sales under, costs over). Where the year is heading adds the rest of the year from the budget or your pace so far. Each department or job can have its own budget, Download Excel gives every month and quarter, and Home says how the year is going. Owners, bookkeepers and accountants who can edit change it.

Can I make my own reports?

Yes. Reports, Build a report: start from a ready-made one (this year vs last year, profit by department, costs by month, sales by customer, spending by supplier) or Build your own. Choose what goes down the side (profit report lines, departments or jobs, customers, suppliers or accounts), what goes across (months, quarters, years, departments, against last year or against the budget), the period (fiscal years included) and filters, and show dollars, % of sales and % change. The numbers come from the same books as the profit report, so they always match. Download Excel or CSV, and save the ones you use.

Where do I connect my bank, my store or QuickBooks?

Connections, in the menu under Statements. It has everything SumSwift connects to in one place: your bank, where you sell, QuickBooks Online, receipts by email and getting paid online, with payroll and bill pay coming. Connect something once and it keeps itself up to date.

I sell on Etsy, eBay, Amazon or my own website. How does that work?

Connections, Where you sell: tap where you sell and connect it once. Each payout is split into your sales and the platform's fees, so your bank deposit matches, and what sells comes off your stock on Inventory. WooCommerce, Squarespace and Wix stores, PayPal and Walmart connect today (some with a key you make in your account; the card shows how). Shopify, Square, Amazon, eBay, Etsy, Clover, Lightspeed and TikTok Shop say Coming soon until each platform approves SumSwift. On Amazon, eBay, Etsy and Walmart, if you're not registered for GST/HST the platform usually collects it and sends it for you; if you are, you give them your GST/HST number and charge it yourself. SumSwift shows which, store by store. Uber Eats, DoorDash and SkipTheDishes don't let apps read your sales: add the payout report they give you.

Can Ask Swift fix something that's wrong?

Yes. Tell it what's wrong, like "the fuel on my personal card isn't a business cost". Ask Swift shows the lines it found and what it would change, and nothing changes until you tap Do it. You can undo it right there, and it shows in the change history. It can move lines to another category, mark a card as personal, mark lines as checked and tag lines to a job or department. Locked months stay as they are.

How healthy is my business?

Reports, Key numbers shows the last 12 months: how many months your cash covers, your profit margins, sales growth against last year, how long customers take to pay and how long you take to pay suppliers, what you have against what you owe soon, and how much rides on your biggest customers. Each has a small chart and a plain line on what it means, and only numbers your books can back up are shown. Ask Swift can talk them through too.

Can my invoices have my logo and colours?

Yes. On Invoices, open Invoice details. Under How your invoices look, add your logo, pick a colour (or Use my logo's colour) and a style: Modern, Classic or Simple. You can add a note at the bottom and a date for each line. The preview shows exactly what your customer gets, and the PDF and the email match it. A PO number field is on every invoice.

Can I save what I charge so I don't retype it?

Yes. On Invoices, Items lists what you sell with its price. On an invoice, start typing a line and pick a saved item: the description and price fill in. A line you type with a price shows Save for next time.

Can I send a quote first?

Yes. On Invoices, open Estimates and make one: the same form as an invoice, with how long the price holds (Valid until, 30 days to start). Email it: your customer clicks View and accept, signs online (or declines), and you get an email with the signed copy. (They can also just reply, and you mark it accepted.) If you change an estimate after it was signed, they accept the new version. Then Turn into invoice makes the invoice with the same lines, tax and job, ready to check and send. Estimates don't change your books; only the invoice does.

Can I invoice many customers at once?

Yes. On Invoices, Invoice several customers: pick the customers (or your repeating invoices), the lines, tax and a note, check the list with every total, then make the drafts, and email them all if you like (up to 50 emails to customers a day; the rest stay drafts). Send all drafts emails every draft that has an address.

Can I keep notes on a customer?

Can my reports come by email?

Can SumSwift chase customers who pay late?

Yes, if you want it to. On Invoices, To chase lists everyone who's late, longest first, with Send a reminder now, Promised to pay on and Disputed. Turn on Automatic reminders there and pick when they go (for example 3 days before the due date, on the day, then 7, 14 and 30 days late): each is a friendly email with the invoice attached, sent under your business name with replies coming to you, never twice for the same step, and they stop when the invoice is paid, disputed or promised, or when you mark a customer Don't chase. Customers shows what each customer owes and how late, how fast they usually pay, a credit limit, and a statement to download or email. Repeating invoices are made on their day, as a draft for you to check or sent for you, and a retainer a customer paid ahead can pay later invoices.

Is SumSwift available in Quebec?

Can I bill progress with a holdback?

Yes. Open the job on Reports, Jobs, and Add a contract: the amount, the holdback (10% in most provinces, 7.5% in Manitoba; your contract decides in Quebec), how you bill and where the job is. Add change orders as they come. Bill progress (there, or on Invoices) asks how far along the job is, then makes a draft invoice with the schedule: contract, billed before, this billing, holdback kept and the amount due now. GST/HST is charged on the amount due now; the holdback's GST/HST is charged when you bill the holdback, and counts on your return by the earlier of that day and the day the holdback is due (the tax rule for holdbacks). Set the date the job was finished and SumSwift works out the release date (55 days in BC, 60 in Ontario and Alberta) and reminds you on Home. Holdbacks you keep back from subcontractors go on their bills, and the Holdbacks list on Reports, Jobs shows both. Not legal advice: your contract and your province's lien act decide.

My accountant uses QuickBooks.

On Accountant, export to QuickBooks Online or Desktop. SumSwift checks every account matches before it downloads. Or connect QuickBooks Online on Connections and SumSwift keeps it up to date on its own: expenses, deposits, invoices and bills with their receipts, matching SumSwift to the cent. Changes go over within a few minutes, and the card shows each balance next to QuickBooks'. If someone edits one of SumSwift's transactions inside QuickBooks, SumSwift asks whether to keep their version or put its own back. US-dollar accounts go over in US dollars once multicurrency is on in QuickBooks.
