How to download your statements
SumSwift builds your books from your bank and card statements. Here's how to get them, and what to watch for.
The short version
- Use a computer. Most banking apps can't download statements; the website can.
- Get PDFs if you can. SumSwift checks every line against the balances printed on them. CSV, Excel and Quicken or QuickBooks downloads work too.
- Every account the business uses: chequing, savings, each credit card and any line of credit, including personal ones you use for business.
- Every month you need. For a catch-up, each month of the year. After that, just last month.
- Drop them all on SumSwift at once, zips included. SumSwift sorts out which account and month each one is, and skips any you've already uploaded.
Things that trip people up
- One month per file. Some banks give you one statement per download even when you choose several. Download each month; if two files are the exact same size, it's probably the same month twice (SumSwift skips repeats anyway).
- Card statements don't run the 1st to the 31st. A card might close on the 10th. That's fine; upload them as they are.
- A card that was replaced (lost or expired) keeps its old statements under the old card number. Download those too; SumSwift spots the new card and asks to join the two into one account.
- Only some months online? Banks keep a few years of statements online; older ones can be ordered from the bank.
Where to find them at your bank
Sign in on the bank's website and open the account. Menus change now and then, so if you can't see it, search the bank's help for "download statement".
Canada
- RBC Royal Bank: Open the account, then look for Statements or eStatements.
- TD Canada Trust: Look for Statements & Documents (or Accounts, then Statements).
- Scotiabank: Look for Statements under the account. It gives one month per download, even if you pick several, and may save it as a .zip or a file ending in .pdfFilename. That's fine: upload them as they are. Just download each month on its own.
- BMO: Look for Statements (eStatements) under the account.
- CIBC: Look for eStatements. CIBC's CSV download (Download transactions) has no balances, so SumSwift can't check it against the bank. PDFs are better.
- National Bank: Look for Statements (Relevés) under the account.
- Desjardins (AccèsD): Look for Statements (Relevés) for each account.
- Tangerine, Simplii, EQ Bank: Look for Statements or Documents; online banks usually keep them all in one place.
United States
- Chase: Look for Statements & documents (from the account menu).
- Bank of America: Look for Statements & Documents on the account.
- Wells Fargo: Look for Statements & Documents.
- Citi, Capital One, Amex, Discover: Card companies keep them under Statements (Amex: Statements & Activity).
Rather not download anything?
Connect your bank instead, from Statements in SumSwift, and transactions come in on their own. You log in on your bank's secure screen through Plaid; SumSwift never sees your password and can't move money.
